General Data Protection Regulations Policy Document
What is the General Data Protection Regulation?
The General Data Protection Regulation (or GDPR for short) is the biggest change to UK data privacy law in 20 years. As part of GDPR all companies have to review how they manage all personal data, whether it be customer email addresses, bank details or home addresses. We feel this is a really positive step towards you having more control over how your data is used.
How is Denford Edge Kennels complying with the GDPR principles?
Here at Denford Edge Kennels, we continue to take the security of our customer’s data extremely seriously, and we welcome the changes needed as a result of these new regulations. You’ll be pleased to know that we hold very little data about people but we must still comply.
What are the key principles of GDPR?
Processing data fairly, lawfully and transparently
This fits very well with the culture of Denford Edge Kennels so it’s something we do naturally.
We believe we already comply but if there are any issues we are always keen to improve.
Data Purpose Limitations
We’re clear from the outset why we have your personal data, it’s to administer your business with us, deal with invoices, meetings, appointments, bookings and other commitments.
Data Minimisation
We’ll never ask you for (nor do we want) any of your personal data that isn’t relevant to the purposes mentioned above. If you’re unsure why we’re asking for something, feel free to ask us why. We are very happy to work with our customers and suppliers.
Accuracy
To the best of our ability we aim to ensure that any personal data we hold is accurate, up to data and correct. We need your help with this, if you don’t tell us something has changed we won’t know, please keep us informed.
Storage Limitations
We have statutory and contractual obligations which we need to meet. Once those have been met there has to be a very good reason why we’d retain records after that time.
Integrity and Confidentiality
We take data security very seriously and have appropriate controls in place to ensure that the personal data we hold is secure and only accessed by those that need it to fulfil their role. This includes ensuring that the Denford Edge Kennels is trained to be vigilant with regards to data security.
Accountability
We take steps to ensure that any Denford Edge Kennels staff are aware of their responsibilities regarding Data Protection, including ongoing training on GDPR. As well as this, we will put new measures in place to ensure that we document all decision processes that affect the retention, processing, storage and disposal of all data. We have opened a GDPR file for the business.
What have we done so far?
We have visited the web site of the Information Commissioner’s Office and familiarised ourselves with the 12 steps to take to prepare for the Introduction to the Regulations beginning from May 25th 2018.
The steps are given below and the address for the ICO website is as follows:
https://ico.org.uk/
Information will be developed and posted on the ICO web site and the Denford Edge Team will ensure that it keeps abreast of any new developments and requirements.
How does this affect you from now on?
The only information we are going to hold about you is your name, address and contact details. These are the details that you provide to us in order to enter into a contract. We are not going to share your details with any other organisation. Necessary exceptions might be made, such as if we have to take your dog to the vets and provide your details, but we will tell you about this if it happens. All details will be held strictly for use between us at Denford Edge Kennels and you the customer. If you are not happy about this please inform us.
